Background Information Council is responsible for governing the affairs of the Town of Whitchurch-Stouffville in accordance with various statutes and by-laws. Composed of the Mayor and six Ward Councillors, Council is elected to serve a four year term. Communication between residents, Council and Town staff is a critical part of developing an effective and open municipal government. You are encouraged to attend and provide your feedback at meetings of Council. If you plan to address Council as a formal Delegation, you must complete the Delegation Registration Request form by clicking here. The completed form must be received by Clerk’s Department by 12:00 p.m. (noon) on the Monday of the week preceding the publication of the meeting agenda. Council Meetings Council meetings are held: 1st Tuesday of each month, 7:00 p.m. 3rd Tuesday of each month, 3:00 p.m. Public Hearing meetings Public Hearing meetings consider matters governed by the Planning Act and other statutes and are generally held: 3rd Tuesday of each month, 7:00 p.m. 4th Tuesday of each month, 7:00 p.m., if required to be scheduled To speak at a Public Hearing meeting, you will be required to complete a form available at the meeting used to ensure your contact information is appropriately recorded in accordance with the Planning Act. Collecting accurate contact information is important in the event that planning matters are appealed and considered by the Ontario Municipal Board. Public Hearing agendas (including meeting minutes from the preceding meeting) are normally available on the Friday preceding the week of the scheduled meeting. Where are Council and Public Hearing meetings held? Council and Public Hearing meetings are held in the Council Chamber, 4th floor, 37 Sandiford Drive, Stouffville. The Council Chamber is wheelchair accessible and disabled parking is available at both the west (automated door at this entrance) and south entrances of the building. In addition, assistive listening devices are available from Clerk’s staff for use during the meeting. I cannot attend Council meetings. How can I provide my feedback? You may provide your feedback by contacting a member of Town staff or through your Ward Councillor. Call the Town’s switchboard, 905-640-1900 or 905-895-2423 for further information and to learn who your Ward Councillor is. Further information You are encouraged to seek answers to your questions through Town staff, prior to the meeting.
